THE ZOOM CLUB
TERMS AND CONDITIONS 2021
General
The majority of workshops take place at The Zoom Club HQ, Summerhall, Edinburgh, EH9 1PL, except when delivering school programmes or on occasions where a field trip or similar have been previously arranged.
Summerhall venue is managed by Summerhall Management.
Claudine Quinn is the main point of contact for all Zoom Club activity, bookings and programme development enquiries.

Clubs and workshops will begin and end at the advertised times in their usual venue unless otherwise stated in advance via email.
********** IMPORTANT COVID-19 CHANGES PLEASE READ ********
In addition to our usual terms & conditions outlined below we have made adjustments to our programme of activities both in the method of their delivery and their content. We require all parents/ carers to agree to any additional measures we deem appropriate to implement throughout the term to ensure the safe delivery of our activities and to remain compliant with up to date government directives. We also ask that Parents/ Carers prepare their child for these changes and to remind their child of the importance of respecting new measures especially hand hygiene and distancing.
OUR KEY MEASURES ARE...
GROUP SIZES: Groups will now contain a maximum of 8 participants and one facilitator. Once in groups, there will be no swapping around or overlaps with another club. We ask that siblings of similar age attend the same club. These club "bubbles" will prevent cross-contamination and ensure that if anyone presents symptoms our “track and trace” is easily implemented.
SOCIAL DISTANCING: Each participant will be allocated a colour-coded workspace in The Zoom Club which will be their personal Studio Space for the term. These spaces are a minimum of 2 meters apart and will have their own making tools and materials each session. Participants are encouraged to respect a safe distance to allow their peers work independently on their projects however we will endeavour to support co-working on small-scale (max. 2 person) joint projects if feasible.
Drop-off and collection procedure will change with STRICT start and end times and parent carers and participants are no longer permitted to wait in the corridor outside The Zoom Club. We are also unable to allow late entry to workshops.
WORKSHOP DELIVERY & FACILITATION: Workshops and Holiday club duration will be adjusted to allow for additional cleaning and preparation. There will be one facilitator allocated to each group at the start of the term. Facilitators will maintain a min. 1 meter distance from participants where feasible and may wear a mask/ visor. Access to computers and in-depth digital design and editing support will not be provided during the initial stages of the workshops relaunching. We will no longer be able to store participant's work on site.
HYGIENE: Participants will be requested to wash their hands before each session and each Studio Space will have their own antibacterial hand sanitiser, tissues and bin which participants will be encouraged to use throughout the session. If your child has allergies to standard hand sanitiser they must provide their own.
Windows will be kept open as much as possible so please ensure your child is dressed appropriately for cooler temperatures.
All vistors to Summerhall MUST WEAR A MASK. Once inside The Zoom Club participants are not obliged to wear masks but may do so if they choose. PPE will be worn and provided when dealing directly with children in the unlikely event of an accident or if a child becomes unwell.
CLEANING ROUTINES: Summerhall has given their commitment that cleaning standards across their facilities are and will remain compliant with current government COVID-19 directives. There is currently a one way system to and from The Zoom Club which all Zoom Club participants and visitors must observe.
The Zoom Club will be thoroughly cleaned at the end of every day. In between clubs, the workshop, individual studio spaces and any shared equipment will be wiped down and sanitised to ensure they are safe for the next participant to use.
SYMPTOM CHECKS: Children must not attend The Zoom Club if they are showing any signs of illness whatsoever. We will have a contactless digital thermometer to be used on each child upon entering the venue. Any child showing signs of illness will not be permitted to attend the workshop. We will implement our Track and Trace procedure in the event a participant or member of their household develops COVID-19 symptoms.
TRACK AND TRACE: You MUST inform us if your child or any member of your household develops COVID-19 symptoms or is self-isolating. We will contact all relevant families and schools immediately.
CANCELLATIONS: In the event a workshop cannot physically take place due to sudden COVID-19 restrictions it will be replaced with an online alternative or refund.
Please don't hesitate to contact us with your/ your child's questions or concerns as we are happy to help and understand what a challenging time it has been for our Zoomers and their families.
Booking and Payment
Full payment of the total amount due must be made at the point of booking. Your booking will only be secured on receipt of this payment. Payment can only be made via our online booking system using the link emailed to you by our automated invoice system. If you have any issue making payment please let us know. We can, on a case-by-case basis, arrange for payment to be made in instalments.
Booking amendments / Cancellations
All payments are non-refundable. However in the case of major illness or accident that affects attendance for more than 2 consecutive weeks, The Zoom Club may, at their discretion, offer credit towards a future booking. Once full payment has been received no further amendments may be made to your booking. The Zoom Club holds no responsibility for club cancellation as a result of events or incidents beyond their control including but not limited to flooding, fire or other damage to the workshop space or Summerhall venue or any other occurrence that would jeopardise the health and well-being of its staff or participants. In light of COVID-19, any resulting closures or incidents of staff self-isolating will result in activities being delivered online instead. The Zoom Club holds no responsibility for any club cancellation or inability to access Summerhall venue or its services that may arise from decisions made by Summerhall Management, their contractors or their staff.
Health and Wellbeing
All Zoom Club workshops and field trips are fully supervised by First Aid Certified and PVG scheme registered staff. Small groups and healthy staff-to-participant ratios are observed to ensure every participant can explore their full potential. Full risk assessment of the spaces used by The Zoom Club and its activities are carried out and reviewed regularly. The Zoom Club staff operate robust Child Protection, Health and Safety and Fire Safety Policies. Claudine Quinn is our contact for all child protection and health and well-being issues.
Please note Summerhall is a DOG FRIENDLY building and The Zoom Club is home to a child-friendly greyhound called Séamus and very relaxed podenco-cross called Paddy, who on occasions rest in the secure office adjacent to the workshop space. If you have any concerns or if your child has an allergy to pet hair or saliva please flag this with us before your first workshop.
The Zoom Club reserves the right to refuse entry to any adult or child who does not comply with these policies.
If a child protection or health and safety issue should arise whilst you are visiting Summerhall or any activity please inform a member of The Zoom Club staff immediately. The Zoom Club staff are committed to upholding the health and well-being of every child as described in our Equal Opportunities Policy and Safe Spaces Policy and each child and young person attending our events and activities is expected to show respect and kindness to all other participants, staff members and visitors to our clubs and workshop space. We ask that parents/ carers provide information on the school their child attends at the point of booking and we reserve the right to contact a participant's school and "named person" and share any infomration deemed relevant to safe-guarding in the event a wellbeing concern arises.
We are happy to support any child who requires extra help understanding and implementing this positive behaviour and can provide social stories and other positive behaviour aids if required. Any child who is unwilling to cooperate with our policies and/ or poses a threat or danger to themselves, our participants, our staff or any other contractor employed by The Zoom Club will not be allowed to attend the club or any other Zoom Club activities and parents may be called to remove their child from an activity in such instances.
The Zoom Club holds no responsibility for any injury or accident that occurs outside The Zoom Club space in the Summerhall venue or any other venue The Zoom Club occupies for a workshop. Any accident or injury of this nature should be reported immediately to the Summerhall venue management via their staff. If you have any other information you would like to share with us relating to your child's well-being that you do not wish disclose in your booking form or in person at the end of a workshop please feel free to discuss directly and in confidence with Claudine Quinn via direct email claudine@lensonlegs.co.uk.
Accessibility
The Zoom Club always ensures it's workshop spaces are accessible and have access to an accessible toilet. Summerhall is a wheelchair accessible venue as is the Zoom Club workshop. Ramp access to the venue is available via Summerhall Square and the venue's main courtyard. Accessible toilets are located adjacent to The Zoom Club space. Please note there is no on-site parking at Summerhall. The Zoom Club welcomes people of all abilities and we are happy to make the necessary adaptations to the workshop space and activity programme where feasible. We can also arrange additional support staff for any child who may require it (including one-to-one assistance) at cost price to parent/ guardian.
Illness
Children who have been unwell with diarrhoea or vomiting bugs must not attend The Zoom Club for at least 48hours after their LAST bout of illness. The Zoom Club reserves the right to deny entry to any child showing signs of any infectious illness. If your child has any ongoing illness or allergies please inform us. In the event that a workshop cannot go ahead due to staff illness we will endeavour to contact all parents and guardians in advance via email, facebook update and, if feasible, mobile phone. We regret that we cannot offer reimbursement for clubs cancelled due to staff illness but we will endeavour to reschedule the missed workshop.
Drop-off and Collection
Please arrive on time for your club. We are unable to accomodate latecomers. The Zoom Club staff will only allow a child to leave the premise with the adults specified in the online booking as a guardian or carer. Only children who have signed permission from a parent / guardian to leave the premises alone will only be allowed to leave the space unaccompanied at the end of the club time. No child or young person is permitted to leave The Zoom Club alone at any other time including break times.
Schools
We operate a number of after school activities across Edinburgh and each school has its own set of policies and protocol to which The Zoom Club must work within. Please contact us or your Parents Council representative if you would like a full breakdown of such policies.
